How to Replace Lost KCSE, KCPE, and any KNEC Certificate

The Kenya Certificate of Primary Education (KCPE) and Kenya Certificate of Secondary Education (KCSE) certificates are essential documents that attest to the academic qualifications of a Kenyan. 

Losing these certificates can be a daunting experience, but replacing them is possible. This article will discuss the steps to replace your lost KCPE and KCSE certificates.

Step 1: Report the Loss to the Police

The first step should be to report the loss of the certificates to the police. This is important because you will need a police abstract when applying for a replacement certificate. The police abstract serves as evidence that the certificate was lost and helps prevent fraudulent replacement requests.

Your next step will be to log in to the KNEC portal. Here, you’ll be required to create an account or log in if you already have one. You’ll be prompted to input your full name, mobile number, postal address, email, and title designation. Your login details will then be sent to your email.

Step 3: Submit Requirements

Once you’ve logged in to the portal, you’ll find a horizontal menu comprising various categories, one of which is labelled ‘lost certificate’. Click on it. 

You’ll be prompted to enter your index number, type of certificate (KCPE, KCSE, etc.), and the year you did the exam. Click on ‘find.’ if you can’t recall the index number, you can contact the school where you sat the exam, and they will write you a letter which you will upload to the portal. 

If your index number is correct, the portal will display your name and a list of requirements for certificate replacement. 

These requirements include: 

• A copy of your result slip
• Police abstract
• National ID
• Passport Photo
• Confirmation from the registrar of persons (accessed from NHIF offices)

Step 4: Pay the Replacement Fee

After uploading the documents, KNEC will review the application, after which the system will generate and send you a pay bill number. Here, you will be required to pay a replacement fee of between ksh 5000 – 6000.

KNEC will process the application, and if approved, you’ll receive details of when to collect the duplicate certificate at KNEC offices. Note that you can check the application status on the QMIS portal. 

Upon receiving the notification, you must personally collect the certificate at the KNEC offices. You’ll be required to present your original ID or passport.

The processing time for a replacement KNEC certificate is usually between two to four weeks.

Final Thoughts

Losing your KCPE or KCSE certificate can be stressful, but you can replace them by following the above steps. In addition to replacing the certificates, it’s also advisable to keep the replacements safe to prevent loss or damage in the future.

It’s worth noting that the replacement certificates will bear the same details as the original ones.
